Terms and Conditions

These are the Institute of Student Employers (ISE) terms and conditions for newsletter recipients and for membership. If you have any queries about the below, please contact the membership team on Email not available without JavaScript.

 

Membership Outline and Renewal

Institute of Student Employers (“ISE”) membership is for 12 months from the date of acceptance of the application by ISE and, in the case of each subsequent membership period, a period of 12 months from the date of renewal of the membership. This rolling agreement will automatically renew each year on the anniversary of the membership unless terminated earlier in accordance with the membership cancellation clause below.

Membership is taken out on behalf of an organisation and thus the organisation is liable for payment of all ISE invoices. Membership payment terms are 60 days from the date of the invoice. If after 60 days no payment has been received, your membership may be suspended at our discretion at which point no membership benefits will be available. Once payment has been received full membership benefits will resume.

Change of contacts

It is the responsibility of the member organisation to ensure that membership is transferred should the main contact leave their role. As the membership is taken out on behalf of the organisation, if subscription payments have not been received within 60 days, the organisation is still liable to settle any outstanding invoices.

Payment

Where payment is required for any of the ISE’s products and/or services, acceptable methods of payment consist of all major credit/debit cards or BACS Transfer. All credit cards will be processed in GBP at the time of payment. ISE is not responsible for any fees, charges, exchange rates or additional charges levied by individual financial institutions. Our terms are payment in full within thirty days for all services other than membership. Invoices for ISE conferences are expected to be settled prior to attendance. Separate terms and conditions relate to event bookings and cancellations and are available at the time of booking.

Membership Cancellation

A member organisation is entitled to cancel their membership from the date of renewal up to the invoice due date. The main contact should write to membership@ise.org.uk or 6 Bath Place, Rivington Street, London, EC2A 3JE.

The member organisation should confirm receipt of the cancellation request by telephone or by email.

Where a member wishes to cancel their membership after the 60 days payment terms, i.e. part way through the membership year, this must be done by the main contact: writing to membership@ise.org.uk or 6 Bath Place, Rivington Street, London, EC2A 3JE.

The member organisation should confirm receipt of the cancellation request by telephone or by email, and if the membership fee remains unpaid will then be liable to pay their membership fee pro rata, for the period of time elapsed between the date of renewal and written notification of cancellation. If the membership fee has been paid, no refund of membership fees will be made in termination by convenience by the member, but the membership will continue to be valid until the end of the membership year.

Termination by ISE

ISE may terminate this agreement at any time with four weeks’ notice for convenience by writing to the address given on the application, in which case ISE shall refund the membership fee for the remaining membership period to the member on a pro-rata basis.

ISE may terminate this agreement with immediate effect and without liability if:

  1. the member commits a material breach of this agreement and fails to remedy that breach within four weeks of receiving notice from ISE notifying it of the breach and requiring remedy; or
  2. For whatever reason, the member organisation is bringing, or may bring, bad publicity or disrepute upon the ISE; or
  3. the member fails to pay the membership fee within 60 days from receipt of invoice from ISE.

If ISE exercises its right to terminate the agreement under clause a) or b) above, it shall provide notice to the member stating the reasons for termination and the effective date of termination, and will not provide a refund of the membership fee.

Termination of the agreement for any reason shall automatically terminate the member’s membership benefits.

Termination by member

The member may immediately terminate the agreement by written notice to ISE if:

  1. ISE are in breach of any of the terms and conditions of the agreement; or
  2. ISE becomes, or appears to become, insolvent or bankrupt or has an application for administration issued against it or ISE has an administrator appointed or in any other way appear or is unable to meet its commitments under this agreement; or
  3. For whatever reason, ISE is bringing, or may bring, bad publicity or disrepute upon the member; or
  4. the member requires security checks to be carried out in relation to any or all of ISE’s staff and the results of all or some of the security checks are unsatisfactory.
Use of Personal Information

The details which you provide about yourself and any information which identifies you (such as your name, address, email address) ("personal information") will be collected by us when you register to use the site, when you submit such information directly by filling in an online form, and when you browse, where cookies may be used.

Your personal information is kept secure. Only authorised employees, the ISE Board and other senior members, agents and contractors (who have agreed to keep information secure and confidential, and require it for a specific job/purpose) have access to this information.  Personal information collected by ISE about its users is used internally for the following reasons: to process payment, register you for the product/service of your choice, update you when required of any changes to your membership or planned products/services, provide you with the most appropriate content for your interests, determination of those areas, features and services that are used and valued the most, and to determine participation in the products and services provided by ISE, including on our website.

If you are a member of an ISE committee or steering/working group your name and organisation may be published on the site. If you would prefer this not to be the case, you can ask ISE to remove your details by email Email not available without JavaScript.

Upon cancellation, ISE will keep details of the member organisation and individual contacts on file for a period of 24 months. This will facilitate rejoining ISE as a member, and allow for analysis of data to improve our products and services. ISE may contact the member organisation or any individuals during this period. Intellectual Property

All intellectual property rights in any material provided by ISE as part of the ISE membership (other than intellectual property rights in any materials provided by the member) shall be owned by ISE.

ISE agrees to grant to the member a fully paid-up, non-exclusive, royalty-free, worldwide, perpetual and irrevocable licence to copy and use such intellectual property rights for the purpose of receiving and using the ISE membership services.

In relation to member’s materials, the member grants ISE a fully paid-up, non-exclusive, royalty-free, non-transferable licence to copy and modify the member materials for the term of this agreement to provide the ISE Services to the member.

ISE shall indemnify the member in full against all liabilities, costs, expenses, damages and losses (including any direct, indirect or consequential losses, loss of profit, loss of reputation and all interest, penalties and legal costs (calculated on a full indemnity basis) and all other reasonable professional costs and expenses) suffered or incurred by the member arising out of or in connection with any claim brought against the member for actual or alleged infringement of a third party's intellectual property rights, arising out of, or in connection with, the receipt, use or supply of the ISE membership (and related the deliverables).

Other

The Freedom of Information Act 2000 and the Environmental Information Regulations 2004 (the “Acts”) gives a general right of public access to all types of recorded information held by the member, subject to certain exemptions, and places a number of obligations on the member with regard to the disclosure of information.

The member will allow public access to recorded information wherever possible and ISE will agree to the member in making disclosures in accordance with the Acts. If the member asks IEL for information, ISE will provide the information requested within five working days at its own expense.

ISE agrees that the member shall have the absolute discretion to decide whether to release information pursuant to this clause or whether to apply an exemption to the information and the member’s decision shall be final.

ISE will comply with the member’s policies relating to ICT security if these policies are notified to ISE as being relevant to the agreement. The member will provide IEL with a copy of the relevant and up to date policies.
